Our cancellation policy outlines the rules and procedures for cancelling a booking or event with our company. This policy applies to all customers who have made a booking or arranged other activities and events with us.
We understand that plans can change, and we strive to be flexible and accommodating to our customers. However, we also have to protect our business and ensure that we can continue to provide quality services to all of our customers. Our cancellation policy helps us do that while still being fair and reasonable to our customers.
This policy outlines the terms, conditions, and procedures for cancellations, refunds, and the responsibilities of both Feel Good HQ and its clients. By agreeing to make a booking, clients accept these terms.
1. Cancellations and Charges
1.1 By agreeing to make payment, we assume you have read the following terms.
1.2 Once a booking has been accepted, cancellations will incur the following charges:
Cancellations made with 30 days’ notice or more
100% refund excluding the deposit.
Cancellations made with more than 14 days’ notice
50% refund excluding the deposit.
Cancellations made with less than 14 days’ notice No refund.
Cancellation of individual treatment/service with less than 14 days’ notice No refund.
1.3 It is recommended that the treatment/service is shared between other members of the group.
2. Extended terms Conditions & Cancellation Policy
2.1 This policy applies to all customers who have made a booking or arranged other activities and events with us.
2.2 If you need to cancel your booking, treatments, activities, or events, please note that cancellation fees may apply. The amount of the cancellation fee will depend on the type of booking made and the timing of the cancellation. In any instance, the booking fee is non-refundable.
2.3 We understand that plans can change, and we strive to be flexible and accommodating to our customers. Our cancellation policy helps us do that while still being fair and reasonable.
Refund Policy
3.1 We do not refund the initial booking deposit. If a refund is agreed within our terms, it does not include the initial fee that secured your booking.
4. Definitions
4.1 Feel Good HQ : Feel Good HQ. Feel Good Pamper Company
4.2 Event: The period during which a therapist provides massage, beauty, or holistic treatments to the client as agreed, and paid for, in advance through a signed booking form.
4.3 The Client: Any person, company, or organisation placing an order with Feel Good HQ for treatments.
4.4 Freelance Therapist: Any person who is supplied by Feel Good HQ with a view to carrying out treatments for, or on behalf of, Feel Good HQ.
4.5 Booking Deposit: Non-refundable amount to accept, confirm, and administer the Event.
5. The Provision
5.1 Feel Good HQ will take all reasonable endeavours to introduce suitable Freelance Therapists for the requested treatments.
5.2 Freelance therapists will be qualified and insured for the treatments provided on an agreed date, time, and location.
5.3 Feel Good HQ will obtain all relevant work permits where necessary and satisfy all medical requirements, qualifications, and insurance as required by law.
5.4 Feel Good HQ will do its utmost to ensure the completion of the engagement. If any therapist is unable to perform due to sickness, COVID-19 related reasons, injury, or any other reason, Feel Good HQ will use all reasonable endeavours to provide an alternative Freelance Therapist. The Client accepts this may involve individuals changing their treatment choice in line with the replacement Therapist’s skills. If an alternative Therapist is secured and treatments provided, no refund will be issued. Should any part of the agreement not be fulfilled in its entirety, Feel Good HQ will deduct on a pro-rata basis the cost of the unfulfilled portion of the engagement.
5.5 Feel Good HQ shall not be liable for any loss, injury, damage, expense, or delay suffered by the Client or the Freelance Therapist due to any act or omission during the Event.
5.6 In the event of a Force Majeure (unforeseeable circumstances that prevent either Feel Good HQ or a Freelance Therapist from fulfilling a contract), Feel Good HQ will notify the Client at the earliest opportunity and reserves the right to cancel the Event. The Client will be offered an alternate date at no extra cost or a full refund excluding the deposit if they elect not to rebook.
6. Freelance Therapist
6.1 Feel Good HQ operates equal opportunities policies governing its dealings with employees, Freelance Therapists, and Clients.
6.2 The Freelance Therapists are required to act in a professional and respectable manner at all times.
6.3 Freelance Therapists are not employees of Feel Good HQ but self-employed or engaged under a contract for services providing their own equipment and products for the treatments offered.
6.4 The Freelance Therapist is entitled to pre-scheduled breaks during the course of the engagement. These may be taken as individual breaks or as an elongated break depending on arrangements with the Client.
6.5 The Freelance Therapist reserves the right not to provide the service for any individual they deem unfit. The Client will be liable to pay in full, but not receive their pre-scheduled treatment under any of the following circumstances, including but not limited to:
Medical Conditions
– Any medical condition not mentioned at the time of booking or listed within the contraindications on the consent form.
– Intoxication
– Misconduct or suggestive comments
– Pregnancy: Feel Good HQ does not provide pregnancy massage during the first trimester (12 weeks of pregnancy).
– Failure to complete and meet Feel Good HQ criteria on COVID-19 prior to treatment.
6.6 The Freelance Therapists will make every effort to accommodate any changes due to lateness, but in such an event, Feel Good HQ will have no liability for any loss of treatment time.
6.7 Freelance Therapists follow strict COVID-19 related health and safety protocols in line with Government guidelines at the time.
6.8 Freelance Therapists are protected against any form of discrimination based on race, religion, gender, sexual orientation, or any other protected characteristic. Clients must treat therapists with respect and professionalism.
6.9 In the event that a client attempts to directly hire or solicit a Freelance Therapist introduced by Feel Good HQ without our consent, a finder’s fee may be incurred by the client.
7. Client Responsibilities
7.1.1 The Client is responsible for providing an accurate address and relevant contact details for the Event.
7.1.2 Use location apps or services to ensure the venue can be easily found.
7.1.3 Consider taking a picture of the outside of the venue to help the therapist identify the location.
7.1.4 Ensure that contact information includes SMS and WhatsApp details in case of signal issues.
7.1.2 Ensure the contact is available on the day of the Event should either Feel Good HQ or the Freelance Therapist need to contact them.
7.1.3 Feel Good HQ will have no liability for any loss of treatment time due to inaccurate address information or if the venue cannot be found and the contact is unavailable.
7.2 Health Consent
7.2.1 The Client must ensure that all guests have signed the appropriate Health Consent Form before receiving treatments on the day of the Event. We assume that all guests are healthy and do not have any thing that contraindicates a treatment or activity.it is the clients responsibility to disclose any concerns prior to the event. Feel Good HQ and its freelancers are not liable for any issues arising from a treatment should a client deem them selves fit.
7.3 Treatment Room Setup
7.3.1 The Client is to ideally organise separate treatment rooms for each therapist, ensuring the room offers adequate space for the Freelance Therapist to provide treatments.
7.3.2 Health and safety measures must be followed, such as ventilating the room where possible, sanitising surfaces and door handles, and providing a pedal bin.
7.4 Alcohol Consumption
7.4.1 The Client will take all reasonable endeavours to ensure that guests limit the intake of alcoholic beverages prior to receiving treatments.
7.4.2 The legal limit for driving is a suitable guideline.
7.5 Punctuality
7.5.1 The Client will ensure that guests arrive in time for their pre-scheduled treatments.
7.5.2 The Freelance Therapists will make every effort to accommodate any changes due to lateness, but Feel Good HQ will have no liability for any loss of treatment time.
7.5.3 As treatment turnover times are very quick, please ensure that the next person is ready to stop any loss of treatment time.
7.6 Minors
7.6.1 The Client is responsible for ensuring individuals receiving a treatment who are 16 years or younger have a parent/guardian present for the duration of the treatment and have completed a Health form.
7.7 Equipment and Refreshments
7.7.1 The Client is asked to provide a standard table and chairs for nail treatments and water refreshments for the event.
7.7.2 Ensure adequate and uncluttered floor space for treatment beds and, where possible, a downstairs room.
7.8 Payment and Additional Expenses
7.8.1 The Client agrees to pay the full cost of the booking as per the agreed rate plus any additional expenses incurred by the Freelance Therapist due to the client’s requirements.
7.8.2 The Client is required to pay a non-refundable deposit to confirm the booking. The deposit will be deducted from the final payment due.
7.8.3 The final payment is due no later than 14 days prior to the Event.
7.8.4 The Client acknowledges that they are responsible for any payment, or other charges due to any third party engaged by the Client (e.g., venue hire charges).
7.8.5 Any congestion charges or toll fees or otherwise must be paid to the freelance therapist on the day of the event.( on arrival)
7.9 Terms Conditions & Cancellation Policy
7.9.1 The Client may cancel the Event up to 14 days before the Event date, and the deposit will be forfeited.
7.9.2 Cancellation within 14 days of the Event date will result in the full payment being due.
7.10 Changes to Booking
7.10.1 Any changes to the booking must be notified in writing to Feel Good HQ at least 14 days prior to the Event.
7.10.2 Feel Good HQ will use reasonable endeavours to accommodate any requested changes by the Client but cannot guarantee to do so.
7.11 Behaviour and Conduct
7.11.1 Feel Good HQ reserves the right to terminate any Event immediately if the Freelance Therapist or Client behaves in an abusive or threatening manner towards the other party.
7.11.2 Feel Good HQ will have no further liability in such circumstances.
7.12.1 Complaints & Disputes
7.12.1 Any issues regarding the therapists or treatments should be addressed with the therapist at the time of the Event. For example, if the client does not like the massage pressure, this should be communicated to the therapist during the treatment.
7.12.2 The Client acknowledges that any complaint or dispute arising from the Event must be notified to Feel Good HQ in writing within 7 days of the Event.
7.12.3 Feel Good HQ will use reasonable endeavours to investigate and resolve any complaint or dispute promptly.
7.14.1 The Client must provide clear instructions and ensure it is safe and legal for the therapist to unload equipment at the event location. This includes ensuring there are no restrictions such as no-parking zones, stop charges, or other limitations that could prevent safe and legal unloading.
7.14.2 If the therapist needs to unload equipment, park the car, and then reload the equipment at the end of the event, an additional time and inconvenience fee may be incurred. Any parking fees, including congestion charges or toll fees, must be paid to the Freelance Therapist on the day of the Event.
7.14.3 Failure to inform Feel Good HQ about any parking or unloading restrictions may result in lost treatment time, and Feel Good HQ will not be liable for any delays or issues caused by such restrictions.
7.15 Non-Discrimination Policy
Feel Good HQ is committed to providing an inclusive and respectful experience for all clients and therapists. We do not discriminate based on age, religion, race, gender, sexual orientation, or any other protected characteristic. All clients and therapists are expected to treat each other with respect and dignity at all times. Any form of discrimination or harassment will not be tolerated. Feel Good HQ values each client’s individual needs and preferences, striving to offer personalised and respectful service to everyone.
7.16 Additional Fees
7.16.1 Any Event booked within 14 days of the Event date, held on a Sunday, bank holiday, after 10pm, or if the Client changes the venue or pre-agreed date, will be subject to an additional fee of £30 payable in advance prior to the Event date.
7.16.2 Events in far-out rural areas may incur extra fees to cover additional travel and time costs. This will be communicated to the Client in advance based on the location and specifics of the Event.
8. COVID-19 Policy
8.1 Feel Good HQ and our Freelance Therapists follow strict COVID-19 related health and safety protocols in line with current Government guidelines. This includes ensuring the room is ventilated, surfaces and door handles are sanitised, and appropriate health checks are completed prior to treatments. Any clients showing signs of COVID-19 are asked not to attend the Event. Should any COVID-19 related restrictions directly lead to the cancellation of
9.Suppliers Terms & Conditions & Policies
Feel Good HQ engages the services of independent contractors and suppliers to provide a range of wellness activities, including yoga, cocktail making, and private chef services. The terms and conditions outlined here apply to all services provided by independent contractors engaged by Feel Good HQ, unless otherwise specified.
For specific suppliers where Feel Good HQ acts as an introductory party:
- Feel Good HQ serves only as an intermediary to introduce the supplier to the client.
- All arrangements and agreements, including payment terms and conditions, are to be made directly between the supplier and the client.
- Feel Good HQ is not responsible for any agreements made directly between the supplier and the client.
In the case of specific suppliers, please refer to their terms and conditions.
Data Protection and Sharing of Information
10. Data Protection
10.1 Commitment to Privacy
– Feel Good HQ is dedicated to protecting the privacy of our clients and ensuring their personal data is handled responsibly and in compliance with the Data Protection Act 2018 and GDPR.
10.2 Use of Personal Data
– The personal data collected, including contact details and health information, will be used solely for the purposes of arranging and delivering our services. We will not share this information with any third parties except as necessary to provide the agreed-upon services.
10.3 Sharing Information with Freelancers
– By booking with Feel Good HQ, clients consent to the sharing of the organiser’s contact details and any relevant health information with the assigned freelance therapists and service providers. This ensures that the services are tailored to the clients’ needs and any health considerations are appropriately addressed.
10.4 Data Security
– Feel Good HQ implements appropriate technical and organisational measures to ensure the security of personal data. This includes protecting data against unauthorised or unlawful processing, accidental loss, destruction, or damage.
10.5 Client Rights
– Clients have the right to access, rectify, or erase their personal data, and to restrict or object to the processing of their data. Clients can exercise these rights by contacting Feel Good HQ directly.
